Event Policies

Waitlist 

The National Forum typically reaches capacity far in advance of the event date. Once we reach a certain attendee number, we will move to a waitlist and encourage all interested individuals to add their names and contact information there. NCFP staff members will review the list on a rolling basis and notify individuals to register as space becomes available. NCFP Members will receive preference; it is not a first-come, first-served list. 

Attendee Eligibility 

Registration eligibility for the National Forum is limited to participants directly involved in a family philanthropy, as this allows us to create a space that fosters true peer-to-peer learning and connection. Forum registration is available to: 

  • Donors and next-generation family members of family philanthropies 
  • Board members of family philanthropies 
  • CEO/Executive directors and other senior staff members of family philanthropies 
  • Consultants or advisors who are attending as a representative of a family philanthropy and not of their consultancy 
  • Up to two staff members from NCFP’s Community Foundations Network members 
  • Up to two staff members from PSO organizations (regional associations, affinity groups, etc.) who are NCFP Network Partners 

Representatives of for-profit entities may partner with NCFP via sponsorship if they are not representing a specific family philanthropy. 

All registrants must be 18 years of age or older. Please contact us about exceptions and accommodations if you are a nursing parent.

Attendance eligibility is at the discretion of NCFP. Please note: if you register and are not eligible to attend, a $150 fee will be deducted from your refund to cover processing costs. 

Session Submission Process 

We are excited to invite NCFP Members and Partners to submit session proposals for the 2026 National Forum. To include the NCFP community’s voice and elevate member perspectives, NCFP will hold an external session submission process from February to March 2026 wherein NCFP Network Members and Partners can submit session and speaker ideas for consideration. The Forum Planning Committee and NCFP staff members will review and select sessions. 

Anti-Harassment  

NCFP is dedicated to maintaining a safe, inclusive, and respectful environment for all participants, regardless of gender, gender identity or expression, sexual orientation, ability, physical appearance, race, age, or religion. We do not tolerate harassment of attendees or staff members in any form. This includes, but is not limited to, verbal or physical harassment or the sustained disruption of event activities.  

Cancellation  

NCFP incurs immediate expenses when a participant registers for an event, including but not limited to registration system fees and payment processing charges. To recover these expenses, all requests to cancel a confirmed conference registration are subject to a $150 service fee. NCFP’s flexible cancellation policy allows for full registration refunds (less a $150 processing fee) through Friday, October 2. After October 2, we will be unable to issue refunds due to NCFP’s commitment to the venue for meals and other expenses. However, you may substitute your reservation with another colleague up to the beginning of the event, providing that colleague meets the eligibility requirements. Health  

NCFP strongly encourages all event attendees and speakers to be up to date on vaccinations for communicable diseases, such as COVID-19 and influenza. Members and guests are asked to cancel their attendance if they feel sick or show symptoms of any communicable disease, including, but not limited to, COVID-19 and influenza. If needed, you may substitute your reservation up to the beginning of the event with another colleague, providing that colleague meets the eligibility requirements.  

We will follow masking requirements that align with any hotel or local, state, and federal guidelines at the time of the event. At this time, we do not expect to require masks and encourage individuals to defer to their own comfort and health. Attendees who choose to wear a mask are expected to bring their own masks.  

We will direct any attendees who are feeling unwell to disengage from event activities and to seek care at local health care clinics if necessary.  

NCFP will communicate any changes to this policy based on changing health conditions with all registered attendees.  

Photography and Audio/Visual Recording 

By entering this event you are entering an area where photography, audio, and video recording may occur.  

Your entry and presence on the event premises constitute your consent to be photographed, filmed, and/or otherwise recorded and consent to the release, publication, exhibition, or reproduction of any and all recorded media of your appearance, voice, and name for any purpose whatsoever in perpetuity in connection with the National Center for Family Philanthropy and its initiatives.  

By entering the event premises, you waive and release any claims you may have related to the use of recorded media of you at the event, including, without limitation, any right to inspect or approve the photo, video or audio recording of you, any claims for invasion of privacy, violation of the right of publicity, defamation, and copyright infringement or for any fees for use of such record media.  

Should you post about the event or what you learn on social media, we encourage you to use discretion and good judgment. NCFP will not monitor nor manage attendee posts; any attendee who wishes to have an image or other post removed from social media must contact the original poster directly.

Non-Solicitation  

To provide an environment where donors and those who work with them are able to share and learn from one another, NCFP maintains a non-solicitation policy at its events. While NCFP hopes its events can be a place for colleagues to connect and develop partnerships, the National Forum should remain primarily a space for learning and networking. Solicitation includes but is not limited to: requesting funding for any purpose, distributing grant proposals, or requesting business.  

Attendees are prohibited from using attendee lists for solicitation, including to promote events held in conjunction with the event or thereafter.  

Any person and/or organization found to be violating this policy may be asked to leave without refund of registration fees, and such activity may result in the inability to attend future NCFP events.  

Sharing of Personal Information 

NCFP will not share a list of registered attendees with any individual or organization. Attendees can use the event app to view other participants and elect to connect with them and may also manage their preferences about what data to share with other app users via the app’s settings menu.  

NCFP reserves the right to update our policies at any time. Please continue to refer to this website and event app for updates on policies and procedures. If there is a significant change to health and safety requirements, we will update policies on this page and send an email notification to all registrants ahead of the event.
